Using the appropriate User Guide and procedure(s) for task being observed, you must complete task observations following this procedure.  Four different observations are required.

Note: When you are validating a learner's performance, you must always be aware of your obligations to the learner.  To sign off on a substandard performance is not only legally wrong, but could lead to serious injury or death of the learner or fellow team colleagues.  Consistent interpretation of the Performance Standards specified for each skill is your responsibility.  If you are unsure of the Performance Standard required, ask for clarification.

Caution: Although you are not to help the learner while they are performing the procedure; do not allow them to deviate from the procedure in any way that could endanger themselves, their colleagues, the environment or the equipment.  If any deficiencies are found in the procedure being observed, a change in the process must be initiated.

Confirm an appointment for observation...

...when requested by the learner or identified in the training plan.

Ensure Prerequisites have been completed...

...this can be verified with the learner and via Traccess.

Be prepared to make notes during observation for use during feedback session...

...you may find the Observer's Reference Sheet helpful when observing the learner, and making notes on their performance.

Have the learner retrieve the relevant procedure(s) from Operations Support System...

...to demonstrate their ability to navigate the system.
...some skills may require that they follow the written document as part of doing it right.
...be sure you are familiar with all documents to be used during the observation.

Ensure all documentation required for observation is on hand...

...correct procedure
...any reference documents specified on the User Guide
...any other procedures referred to in the main procedure.

Review Performance Standards with learner...

...the conditions for qualification, total number of observations required, their progress to date, etc.

Ask learner to explain the purpose of the procedure...

...they must have a good grasp of the procedure purpose and what performance objectives it is supporting.

Observe learner collecting any Special Materials required.

Ensure learner uses all Safety Equipment required...

...although you cannot help the learner in any way during the observation, you must stop them if they ignore safety requirements or do not use the proper safety gear.
...note any deficiencies in your notes.

Observe whether Learner follows all steps in procedure, and also uses information from Notes column as appropriate.

Give feedback to learner on their performance...

...stick to Standards identified
...use notes you made
...be objective
...be honest - hedging the truth to save the learner's feelings is of no value to them or their continued improvement
...note good performance items first, then areas for improvement, if any
...be specific to the task and make your feedback clear and concise.

Identify what skill the learner should work on next...

...if they met the standard of performance required.
...if several successful observations of the same procedure are needed to qualify, you will have to ensure the learner understands this. 
...adequate time must be allowed for practice between observations.

Agree on a time and date for the next observation, and agree on an improvement plan...

...if learner failed to meet qualifications.
...if you are the observer but not the mentor, refer them back to their mentor for development of an improvement plan.

Review record-keeping process with the learner...

...so they are aware of how their performance affects their records.

Update learner's records as needed...

...observation sheet and Traccess electronic records, which can be changed by a level 2 Traccess user.
